Start with a frequent, measurable task
Invoice intake, request routing, document classification, and preparing CRM updates are examples to assess. Map the steps, exceptions, people, and systems before choosing an AI component. These are possible scopes, not claims of completed client deployments.
Separate interpretation from execution
Use AI to interpret an input where useful, then validate required fields and apply deterministic business rules. Route uncertain cases to review. Confirm permission and approval before writing to a system of record.
Plan the unhappy path
A production workflow needs retry limits, duplicate protection, records of completed steps, and a way to resume after an unavailable provider. Define who owns a failed task and what the user sees.
Compare the pilot with today’s workflow
Track processing volume, handling time, exception rate, corrections, and provider usage. Compare like-for-like work and review whether the saving is large enough to justify maintenance.
